Outreach → HubSpot: Capturing Email Engagement for Lead & Account Scoring


Hoping to sanity-check a use case and learn from others who’ve solved this.

Use Case
We’re trying to include Outreach email engagement (opens, clicks, replies, bounces, unsubscribes) in HubSpot contact + account scoring.

Current Setup

  • Outreach emails → Salesforce
  • Salesforce → HubSpot
  • Emails appear in HubSpot as logged email in activity line called tasks (which we cannot track for opens, clicks etc)
  • BUT no engagement metrics (logged ≠ tracked

 

What We’ve Learned

  • HubSpot activity timeline can’t surface engagement from logged emails
  • Outreach → HubSpot email activity mappings are limited
    HubSpot analytics fields (e.g. “Number of email clicks”) are read-only
  • Custom objects don’t solve this
  • Activity-level scoring isn’t viable here

Leading Option
Mapping Outreach prospect-level aggregate engagement fields (open count, click count, reply count, bounce/unsub flags) into custom HubSpot contact properties, then using those for:

  • Contact scoring
  • Account/company roll-ups

Questions for the Group
Has anyone successfully captured Outreach engagement at the activity level in HubSpot (without Salesforce)?

  • Are Outreach’s aggregate prospect fields reliable enough long-term for scoring?
  • Has anyone used Outreach API / middleware to push raw events into HubSpot?
  • Any gotchas with contact-level syncing we should anticipate?
    Appreciate any patterns, anti-patterns, or war stories :pray:

Hi @CleverRandy , circling back on this after taking a closer look at the available documentation

 

Right now, HubSpot can’t treat Outreach sends like native HubSpot emails, so opens/clicks/replies won’t populate the built‑in email engagement properties or timeline events you’d normally score on. Those analytics fields are reserved for HubSpot‑sent marketing emails:

Given that limitation, your “Leading Option” is the right pattern:

Keep Outreach → Salesforce as the source of truth for prospect‑level aggregates (open/click/reply counts, bounce/unsub flags) on Lead/Contact.

In HubSpot, create matching custom contact properties and map the Salesforce fields to them via the Salesforce integration (Settings → Integrations → Connected apps → Salesforce → Contact property mappings):

Use those HubSpot properties as inputs to your contact and account scoring (e.g., thresholds on open/click/reply counts, negatives for bounces/unsubscribes, then roll up to company via workflows). This is very similar to how HubSpot’s own predictive lead scoring leans on behavioral signals:

So the practical answer: score on Outreach’s aggregate engagement metrics synced into HubSpot as contact properties, and use workflows to roll them up for account‑level models, rather than trying to drive scoring from activity‑level Outreach email events.
